Introducing Our Free Letter of Appointment Generator
A small document that keeps service moving
Anyone who instructs or works as a process server knows the value of a well-prepared Letter of Appointment. When an application for substituted service is granted, or an order for alternative service is made, the attending server needs clear written authority setting out who they are, what they are authorised to do, and exactly when and where the appointment will take place. It is a short document, but it is one of the details that separates a tidy file from a difficult conversation later.
We have used these letters internally at Tracenet Legal Services for years. Today we are making our generator freely available to everyone: the Letter of Appointment Generator.
What the tool does
The generator produces a court-ready Letter of Appointment as a single-page A4 PDF. It supports both of the common variants:
- Substituted / letterbox service — the standard letter authorising service by posting through the letterbox of the address in question.
- Order for alternative service — where service is effected under the terms of a specific court order.
You complete a short form — the parties, the documents being served, the address and the appointment details — and the tool builds the letter for you, with a live preview as you type. When you are happy, you download it as a PDF or have a copy emailed to you.
Fixed time or a window
Appointments are not always set for a single moment, so the generator lets you choose how the appointment time is expressed:
- Between times — for example, "between 1800 hours and 2000 hours", giving the server a lawful window in which to attend.
- Fixed time — for example, "at 1800 hours", where the appointment is set for one specific time.
You can also leave the date and time blank. In that case the letter prints neat dotted lines for those details, so they can be completed by hand at the point of service — useful where attendance plans change at short notice.
Deliberately unbranded
The letter contains no Tracenet branding, logos or contact details. It is your document: the server attending, the instructing party and the documents being served are the only names that appear. Solicitors, landlords, debt recovery firms and freelance process servers can all use it and present it as part of their own file.
